Why retail bookkeeping fails when POS and accounting are separate.
Most retail businesses in Ghana operate two completely separate systems — a POS or cash register for sales, and a spreadsheet (or paper record) for accounting. The sales happen in one place. The accounting happens in another. Connecting them is a manual step — one that happens late, happens infrequently, or does not happen at all.
COGS is calculated at month end — or not at all
Most retail businesses do not know their Cost of Goods Sold in real time. They use a periodic count to estimate it — which means their gross profit figure is always an approximation, never a fact.
Inventory shrinkage is invisible
When stock is sold, stolen, or damaged, a disconnected system does not automatically adjust the balance sheet. Inventory value is often stated at purchase cost without the reductions that sales and write-offs should create.
VAT collected on sales is estimated
If VAT is not calculated and separated at the point of every POS transaction, the VAT liability is an estimate. If the estimate is wrong — common when daily sales volumes are high — the error compounds through the period.
